Faculty Prehire Onboarding Process

Under the direction of both the Provost’s Office and HR Office, FPOP was developed as a mandate for University-wide, full-time faculty hiring to achieve the following:

  • Improve the onboarding experience for full-time (FT) and adjunct faculty
  • Improve the access and services for hiring departments and their faculty
  • Ensure that the process coincides with the framework of USF Faculty Association (USFFA) compliance requirements
  • Identify the overall changes associated with streamlining of the Electronic Personal Action Form (EPAF)

Who needs to go through the new FPOP?

 FT faculty members who do need to go through the new FPOP:

  • New Hires
  • Re-Hires
  • Employee Class Transfers

FT faculty members who DO NOT need to go through the new FPOP:

  • FT faculty "continuing" on their contract 
  • FT faculty being reassigned within the University

Timeline

August 1, 2014 - September 2014

  • If you have a job posting in process for Fall 2014 that is already posted and you are ready to present an offer, proceed with the OLD PROCESS, and create the EPAF manually. Email Maggie Gonzalez or call (415) 422-2177 to review the current status of your new hire and the offer.
  • If you have a job posting in process for Spring 2015 or Fall 2015 that is already posted, proceed with the NEW FPOP. Email Maggie Gonzalez or call (415) 422-2177 to review new Offer Form process.
  • If you have a job posting in process for Fall 2014, Spring 2015 or Fall 2015 that is NOT yet posted, proceed with the NEW FPOP. Email Maggie Gonzalez or call (415) 422-2177 review new Offer Form process.

September 2014 - 2015     

  • If you have a job posting in process for Spring 2015 or Fall 2015 that is already posted, proceed with the NEW FPOP. Email Maggie Gonzalez or call (415) 422-2177 to review Offer Form process.
  • If you have a job posting in process for Fall 2014, Spring 2015 or Fall 2015 that is NOT yet posted, proceed with the NEW FPOP. Email Maggie Gonzalez or call (415) 422-2177 to review Offer Form process.
  • The NEW FPOP may be started and EPAF automatically created, although EPAFs will not process through Payroll until after June 15, 2015 or the new hire’s effective date, whichever is the later. Please note that each year, there is an EPAF freeze after the end of the fiscal year from May 31 through June 15. Any EPAF submitted during this time period will be held until after June 15 or the effective date of the EPAF, whichever is later.

Training

A hands on training schedule for all business managers, hiring managers for full time and Adjunct Faculty will be rolled out to each school during the weeks of January 5 through January 23, 2015 (intersession).
