Vehicles

The College of Arts & Sciences maintains a fleet of vehicles for business use by faculty and staff. CAS Vehicles are most often used to engage in educational field trips.

All faculty, staff, and students who want to drive a CAS vehicle must become an authorized driver through the Driver Authorization Process.

  • Driver authorization and key fob distribution is handled by the USF Risk Management Office – the Dean's Office is not responsible for this part of the process. All inquiries about driver authorization and/or key fobs should be directed to: usftravel@usfca.edu.

CAS has the following 6 vehicles available for use:

2 vehicles located on Masonic & Turk, behind 281 Masonic

  • White Sprinter Van (seats 9)
  • Silver Sprinter Van (seats 9)

4 vehicles located at the top level of the Koret parking lot

  • Red Ford (seats 9)
  • Black Yukon (seats 8)
  • Gold Suburban (seats 8)
  • White Minivan (seats 7)

Vehicle requests must be made at least 24 hours in advance using the Vehicle Request Form. Vehicles are not guaranteed and are reserved on a first-come, first-serve basis.

Student drivers may be used as additional drivers for a class trip if they complete the Driver Authorization Process prior to the trip.

However, this cannot be on a voluntary basis. Student drivers must be compensated for the time they spend driving (not time spent on academic activities during the class trip).

Once a trip has been confirmed, an email regarding key pickup will be sent to the sponsoring faculty/staff member the afternoon before departure (Friday for reservations on Sat-Mon). 

Vehicle keys and fuel cards will be available for pickup directly from one of the lockboxes located in the 1st floor KA annex stairwell between the Grad Admissions office and the rear of the Dean's Office. 

Do not head to the Dean’s Office directly to pick up keys. You must wait for the email regarding key pickup.

The vehicle(s) must be returned to campus with the following parameters met:

  • The fuel tank is at least ½ full.
  • All lights are turned off.
  • All windows are closed.
  • No trash or personal belongings were left in the vehicle(s).
  • The steering wheel and handles have been wiped down with provided wipes.
  • All doors are locked.

Once the vehicle(s) are returned, drivers must fill out the CAS Vehicle Return Checklist. Any damage or issues experienced when operating the vehicles must also be reported as soon as possible using the Checklist form.

Vehicle keys, gas card and gas receipts must be returned immediately to the dropbox located to the left of the lockboxes. Please do not take home the keys and gas cards.
