I'm a construction vendor for a Project Management project. How can I find out the payment status of an invoice I mailed to Project Management?

Email us ( mailto:thorpj@usfca.edu) the following information for each invoice follow-up:

  • Invoice number
  • Invoice amount
  • USF Project Name

If you don't know the USF Project Name that corresponds to your work, call us at (415) 422-2800 to find out.

We will check the status of the payment of the invoice and will either call or email you with that information.

How can I find out the USF Project Number that corresponds with a USF Project Name?

Call the USF Project Manager for the project and they can give you that information. If you don't know who the USF Project Manager for the project is, call us at (415) 422-2800 and we should be able to give you that information.

Does USF Project Management have an instruction sheet for the information they require contractors to provide on invoices?

Yes. Just email us at cjduane@usfca.eduand ask us to send you the USF Project Management invoice instruction document.

What information do I need to put on my invoices to make sure they are promptly paid by USF Project Management?

Please include the following information on all invoices for prompt payment:

  • A unique invoice number (4 digits minimum)
  • The USF project name
  • The USF project account number
  • The USF Project Manager's name for the project
  • The USF purchase order number (if assigned)
  • The correct address for USF Project Management:

If USF Project Management has already processed my invoice and delivered it to USF Accounts Payable, how can I follow-up on the status of the invoice?

After USF Project Management processes and invoice and delivers it to USF Accounts Payable you can followup on the invoice with A/P at (415) 422-6371

How can I find out which USF Project Manager is the lead on a USF Project Management project I'm working on?

Give us a call at (415) 422-2800 with the USF Project Name and we can tell you the lead Project Manager for the project.

How do I know if my invoice corresponds to a USF Project Management project?

If the USF Project Manager that corresponds to the invoice is not J J Thorp, Lisha Karpay-Brody, Sabina Nieto, Alex Mauer or Steve Bowers, the invoice does not correspond to a USF Project Management project.
