USF Mail Services
The USF Mailroom is open from 9 A.M. to 1 P.M., Monday through Friday, excluding USF-observed holidays.
The Mailroom handles all official university mailing and shipping needs, including:
- Distributing incoming mail
- Expediting outgoing letters and packages
- Handling inter-campus mail
We work with various carriers to provide efficient and cost-effective services, leveraging our extensive experience to select the best options for your needs.
Our Services:
Delivery and Pickup:
The Mailroom sorts and delivers all incoming and interdepartmental mail. For inquiries or issues regarding mail pickups or deliveries, please contact the Mailroom. During delivery, outgoing mail and packages with a non-hazardous material label and a Shipping Request Form will be collected.
Mail Processing:
Outgoing mail and packages are metered for pickup by USPS, FedEx, UPS, and DHL.
Carrier Pick-up Times (Monday - Friday):
- FedEx (Preferred vendor) - 2:30 PM
- UPS - 2:30 PM
- US Postal Service - 2:30 PM
- DHL - on demand
Note: The Mailroom cannot process packages after the carrier’s pickup time. Please ensure your mail is processed well before deadlines.
Large Shipping:
For bulk mailing or large outbound orders, coordinate directly with third-party postage processing centers. The Mailroom staff can provide additional information if needed.
Mail Forwarding:
The Mailroom does not forward your mail to you. If you receive mail from individuals no longer with your department, cross out the USF address completely and list the forwarding address under the words: "Please Forward." If you do not have a forwarding address, cross out the USF address and mark the envelope: "Return to Sender, No Forwarding Address." Put these envelopes with your off-campus mail for pickup. If you receive unwanted mail, do not open it. Cross out the USF address and the barcoding at the bottom and mark the envelope: "Refused, Return to Sender."
Department FedEx and UPS Accounts:
Departments can utilize FedEx and UPS accounts to use USF's postage rates for shipping labels. Adhere to Restricted and Prohibited Items guidelines when packaging. To set up an account, please contact the Mailroom. If you already have an account, complete and print the carrier’s forms, and attach them to your package. Direct pickup from your location is optional.
Shipment Restrictions:
The Mailroom reserves the right to decline handling shipments containing:
- Contagious chemicals
- Inflammable liquids
- Live animals for laboratory use
- Improperly marked packages
Perishable Items:
Perishable mail and shipments become the department's responsibility upon notification of receipt. Departments must promptly pick up such items from the Mailroom, as we do not have refrigeration facilities. For refrigerated shipments, please consult with the Mailroom in advance.
Personal and Student Packages:
We no longer accept personal, student, or incognito package drop-offs for carrier pickup. All outgoing packages must be verified and recorded by Mailroom personnel at the Hayes Healy Lower Level.
