Information for New Hires
Provide your Form I-9 Supporting Documentation to Student Employment Office
- As part of the onboarding process, students will fill out their form I-9 on USFWorks for Student Employment and submit the "Complete Form I-9" task. Then, the employee presents their original (hard copy) I-9 documents in person to the Student Employment Office (Lone Mountain Main, Room 203) on or before their first day of work.
- Visit for a full list of acceptable documents. Copies and/or digital images will not be accepted.
- If your work location will be at an additional campus or other location, please contact Student Employment by calling (415) 422-6770 or emailing stuemp@usfca.edu to coordinate arrangements to provide documentation to a local Student Employment representative.
- Students who are rehired after the end of a previous work assignment must confirm with the office that they have a valid I-9 on file prior to beginning work.
Onboarding Tasks
Once you have been hired in a student position, you will need to complete all five (5) onboarding tasks on USFWorks for Student Employment.
On the left hand side of your Workday homepage you will see your Workday inbox. Open Complete Form I-9.
- Review and confirm the information that has been auto-populated.
- Check the box that best describes your citizenship status
- Under Signature of Employee check the box I agree
- Check appropriate Preparer and/or Translator Certification information
- Submit Complete Form I-9 task by clicking the submit button. Then click Done.
Then, provide supporting documentation for the Form I-9. Visit for a full list of acceptable documents based on citizenship status.
On the left hand of your workday homepage you will see your Workday inbox. Open Review Documents.
- Please read the instructions stated in the task, "Please review the California Labor Code Sections 221 and 224, read the signature statement below, and acknowledge below."
- Check the box labeled I agree
Submit Review Documents task by clicking the submit button. Then click Done.
On the left hand side of your Workday homepage you will see your Workday inbox. Open Complete Federal Withholding Elections.
Review the form carefully and enter the appropriate information so your employer can withhold the correct federal income tax from your pay.
To complete the task, check the I agree box and click the submit at the bottom of the page.
On the left hand side of your Workday homepage you will see your Workday inbox. Open Complete State and Local Withholding Elections.
Review that the employment information is correct.
- Click the hamburger patty icon and select the one that best applies
- Enter number of allowances, if any
- Enter Estimated Deductions, if any
- Enter Additional Amount, if any
- If applicable — select the box for military spouse exemption
To complete the form, check the I agree box and click submit at the bottom of the page.
On the left hand side of your Workday homepage you will see your Workday inbox. Open Payment Election Enrollment Event.
Preferred Payment Method (Direct Deposit)
- Enter Routing Transit Number, Bank Name, Account Type and Account Number
Preferred Payment Method (Check)
- Under regular payroll, click the hamburger patty icon and select Check
Submit Payment Election Enrollment Event task by clicking the submit button at the bottom of the page. Then click Done.
Social Security Number
- Upon hire, students without a Social Security number on file must supply one to the University by submitting a Change of Personal Data webform webform to the Office of the University Registrar.
- An international student without a Social Security number (SSN) who has accepted an on campus job offer will be provided information on how to apply for an SSN upon completion of their form I-9. Application instructions and information may also be found on the ISSS website.
- Within 45 days of beginning employment, an international student must provide a Social Security number to the University by submitting a Change of Personal Data webform to the Office of the University Registrar.
USFWorks Work Clearance
- Upon completion of all onboarding tasks on USFWorks and verification of I-9 documents, students will be ready to start employment.
- Students must receive authorization from the Office of Student Employment before beginning work.
