Residence Hall Closing Information - FALL/WINTER

Fall Move-out Date

Checkout is on Saturday, December 14th, 2024 by 12 PM, NOON - all residents must be fully moved out by then. 

***For Permanent Checkouts (ie, residents who are not returning in the spring):

Checkout Process

1. Check Out During Desk Hours:

All students MUST checkout at the Front Desk of their hall.  You must be out of your residence hall by 12 PM, noon, on December 14th, 2024. All access will be shut off at that point. 

2. Checkout during a Desk Closure:
If you are checking out during a desk closure, you must email usfhousingassignments@usfca.edu and include your name, CWID, and date and time of check out. 


Room Checklist

Please Note: Failure to complete the door checklist or checking out at the front desk will be considered an Improper Check-Out and will result in an additional charge.

If you are NOT approved for Winter Break Housing, you are responsible for ensuring that the following items are completed prior to your departure. Failure to complete these items prior to your departure will result in a minimum of a $50.00 improper checkout fine per line item (listed below). In addition, you are responsible for any other University of San Francisco or Residence Life/Student Housing policy violations found during the room check.

PACK EVERYTHING YOU NEED for break, including your passport, any homework, computer, prescriptions/medications, RAC (if applicable), plants, emotional support/service animals and fish, etc. You will not be able to return to your room after December 14, 2024 at 12PM NOON. Residence Life Staff will begin to walk through all rooms December 14, 2024.

Again, if you're leaving for Winter Break, make sure everything on your door checklist is completed and all of the following are completed prior to the LAST person departing:

  • Take your important possessions with you. USF and Student Housing are not responsible for your personal belongings left in the residence halls. Please take all important items- ie, medications, passports, laptops, etc.
  • If you have a Microfridge or your own personal mini fridge - defrost your unit 24 hours before the last person leaves, please make sure your unit is emptied, unplugged, and open so that it has time to defrost prior to your departure. Place a towel underneath the fridge to avoid a potential water leak onto the carpet. No food should be left in any microfridge/refrigerator unit over the course of the break.
  • Turn off the heater.
  • Take out trash, recycling, and compost. There should be no trash left in residence hall rooms during the break. A community charge will be applied to all students in the community if trash is left in the common areas such as the trash room and/or bathroom.
    • Dispose of or take home holiday decorations.  
  • Pick up your mail and packages. Mail and packages will stop being accepted/sorted on December 14th, 2024 at 6PM.  You are able to pick up any already logged packages before your departure on the 14th. After that, mail/packages will not be available for pick up until all buildings reopen on January 13th, 2025.
  • Return any items and all temporary cards to your front desk. All temp cards borrowed from the front desk must be returned.  Failure to return any temp cards will result in a replacement fee charge of $20 per card (this cannot be appealed).
  • Staff will enter your rooms during winter break. Staff will enter your room during the break period to perform a room inspection as well as maintenance and/or repair work.
  • Residential Access Cards(RACs). All students in possession of a RAC must ensure that they do not lose their RAC over the Winter Break/Intersession period.

FROMM, GILLSON, HAYES HEALY, TOLER, LONE MOUNTAIN NORTH, & ST. ANNE’S - 

  • Unplug everything. Nothing should remain plugged-in during the break.
  • Close and lock your windows. Residents who live on the first floor should pull their blinds down and ensure there is no ability to look inside. All other residents should raise their blinds up all the way.

In FULTON FLATS, FULTON HOUSE, LOYOLA VILLAGE, & LONE MOUNTAIN EAST - 

  • Unplug EVERYTHING except for the stove and refrigerator.
    • Clean out the refrigerator of all food except non-perishables.
  • Clean kitchen and bathroom (no dirty dishes left in/around sink, counters and floors cleaned, bathroom clean & sanitary).
  • Close and secure all windows; leave window blinds pulled up (residents in units facing Anza Street or Fulton Street on the first floor should keep their blinds closed); lock ALL patio doors.
  • Vacant Spaces/New Roommate. If there is a vacant room in your unit, please ensure the vacant room is completely empty. All vacant rooms are subject to be filled by another student. Please note that you should expect to receive a new roommate for the spring semester. If the vacant room in your unit is not cleared at the time of your Fall 2024 departure, you may be subject to a $50 fine for our staff having to clear the space.

Mail 

You must pick up all mail AND packages by 12:00PM, on December 14, 2024.  

Mail and packages will NOT BE ALLOWED to be picked up after that.


 24-hour Quiet Hours

Please be advised that 24-hour quiet hours will go into effect starting on December 4th, 2024 (the last day of classes) at 10:00PM and will remain in place until December 14th, 2024 at 12:00 NOON.

Any resident found violating quiet hours at any time during this period will be documented and entered into the conduct process. Please be respectful of your fellow residents studying for final exams.


 For Residents who are Permanently Checking Out

ALL HALLS:

You must be moved out of your residence hall by 12 PM, NOON, on December 14th, 2024. All access will be shut off at that point (including Loyola Village, St Anne, Fulton Flats, and Fulton House).

STEPS FOR CHECKOUT:

  1. You must remove all items from your assigned room.
  2. For all buildings EXCEPT St. Anne’s, Fulton Flats, & Fulton House: You are REQUIRED to check out at your front desk.
    1. You must return all Residential Access Cards (RAC) and/or mail keys at the time of your departure.
    2. For Fulton House Residents ONLY: Please leave your gate keys on the desk in your room.
      1. Failure to return your gate key will result in a $30 fee to your student account.
  3. For St. Anne’s, Fulton Flats and Fulton House:
    1. You must email usfhousingassignments@usfca.edu to confirm your checkout date and time. Please include your student CWID and room number.

PLEASE NOTE: Failure to complete one of the aforementioned steps will be considered an Improper Check-Out and will result in an additional charge.

All belongings have to be removed from your space to prepare for a new student arrival in the Spring semester. If you leave any items in your assigned room you will be charged an improper checkout fee. You will not be able to enter back into your room after you have checked out at the front desk and returned your RAC/deactivated your Mobile One Card. USF is not responsible for any items left in the halls after you check out - items will be donated and disposed of after you check out.
