Vacation

The University provides vacation time to help employees with work-life balance. Vacation hours are provided for the purpose of rest and relaxation. 

  • Vacation time is an important benefit and supports your overall well-being. Request time off by following your department’s protocols and be aware of periods of time when vacation may not be approved due to operational needs.
  • All vacation requests must be entered into and approved in USFWorks before time is taken.

The University of San Francisco provides eligible staff with paid vacation earned as follows:

NOTE: Employees eligible for vacation and covered by a collective bargaining agreement should refer to their agreement for information about vacation accruals and maximum vacation hours. 

The University of San Francisco provides eligible executives with paid vacation earned as follows:

Staff accrue hours on the last day of each pay period and accrual earned can be used in the following pay period. Accrual rate information can be found on your payslip and by running the Time Off Results by Period report in Workday. 

Accruals will stop when the maximum vacation balance is reached and you will not receive an accrual until the balance falls below the maximum.

For employees who work 7.5 hours per day, 30 days equals 225 hours.  For those working 8 hour a day employees, 30 days equals 240 hours.

Staff who work less than full-time, but who are still eligible to accrue vacation, will accrue at a prorated amount based on years of service.

Staff who separate from the university or change to a classification that is not eligible to accrue vacation will receive a payout for all unused, accrued vacation hours in accordance with state law. When ending employment, any unused vacation hours cannot be used after an employee's last actual day of work.  Meaning that vacation time cannot be used to extend employment beyond the last actual working day.  Vacation time is intended to be taken during the course of employment for rest and relaxation.

Staff moving from a full-time to a part-time position with no break in service will retain their accrued vacation balances and begin accruing at the new, prorated level.

Staff whose positions are grant-funded, which are re-funded annually, should use all of their accrued vacation leave each year before the start of the next grant period.

Because faculty do not earn or accrue vacation, staff who return to faculty positions do not carry forward accrued or unused vacation. Therefore, staff must use all accrued and/or unused vacation before returning to their faculty positions.

Staff that are rehired by USF within 6 months will accrue hours based on their previous time off service date.

Requesting Vacation

Staff can request vacation time from their supervisors in USFWorks at least two weeks before the requested time off. For detailed instructions on how to request vacation and view vacation balances, visit the USFWorks training web page.

Supervisors will attempt to grant vacation requests, however, they are not required to approve requests. Requests will be approved based on a number of factors, including department operating and staffing requirements. Staff will be notified of the approval or denial in USFWorks.
