Plan Your Event
All recognized student organizations are granted equal access to:
- The use of information tables in designated common areas
- Scheduled use of meeting rooms
Requests for event space by student groups will be considered for approval based on the following criteria:
- The student organization is recognized and is in good standing;
- The proposed activity in no way poses a clear and present danger of injury to persons, damage to property, or to the orderly operation of the University;
- The nature of the event shall be an efficient and appropriate use of campus facilities;
- The availability of the space and the appropriate use of the facility; and
- The request is in compliance with the Fogcutter Student Handbook and all applicable policies.
Reservation Considerations
- All reservations for on campus events are done through the EMS system.
- After completing this canvas course SLE will give you access to making reservations.
- Having access to room reservations is a privilege. You may only reserve rooms on campus for student organization events and meetings. Do not use your access to reserve rooms for personal use, other groups, external entities, etc.

- If a reserved space is no longer needed, student organizations should cancel their reservations as soon as possible. This will allow other members of the USF community access to space for their events and meetings. Failure to cancel a reservation as soon as possible may cause unnecessary university labor and operation expenses which can be passed onto your organization.
- Student organizations may only reserve spaces for meetings and events during the academic weeks of both fall and spring semesters.
Planning Considerations
Once your organization’s reservation request has been reviewed, the person who submitted the request will receive a confirmation email and be assigned an event manager. You must communicate any technical or catering needs for your event with your assigned event manager.
