Onboarding Steps
Step 1: New Hire Paperwork
USF Human Resources (HR) will send you one or more email(s) to fill out your new hire forms through Workday (USFWorks) please complete all of the tasks in one sitting, if you do not, then you will have technical issues that will delay your onboarding.
You are required to submit and validate your I9 form and supporting documents in person. To complete this step, you will need to sign up for an appointment with Human Resources or Cece Mulcahy.

Step 2: Create your myUSF Account
Once your HR paperwork is complete and processed, you will be notified from ITS of your USF e-mail and username. This is the last email USF will send to your personal email. With your username in hand, follow these steps to get started.
The USF email system is our system of record and is the primary means for the university to communicate with its employees. Use of the USF email system is a requirement of employment. In addition, faculty should use their USF email to communicate with students and other USF employees. Personal email is not an acceptable substitute for using the university's system.
- Go to myUSF
- The password will be the one you created when onboarding. For assistance with logging in, call the ITS Help Desk at (415) 422-6668 or visit them in person (hours and locations).
You must set up your myUSF account as soon as possible. You must be able to log into your myUSF account in order to view your class roster, access official University e-mail, submit grades, and many other functions.
Step 3: Faculty Access, ID, & Profile Information
Systems Access
Even though you may already have a myUSF account and email because you are already affiliated with the University in another role, you may still need to have access granted to you for additional systems. If you are both a graduate student and an adjunct faculty member, be sure to let your program staff know so they can assist you with your new systems role.
Faculty ID Card and Nursing Badge
- All USF faculty are issued a university photo ID called the USF One Card, and clinical nursing faculty are issued a Nursing Faculty Badge. As a current USF faculty, you may use your USF One Card to unlock doors and gain entrance into University buildings and facilities. The Nursing Faculty Badge is worn during your clinical rotations to identify you as USF Faculty while working on a hospital unit. We are no longer printing physical cards so you will need to setup your Mobile OneCard.
- Find a recent color photograph of yourself (your entire head and shoulders must be visible and you should be facing directly towards the camera), then save it as a JPG or JPEG file.
- Log onto Online ID Express: Log onto the Online ID Express website with your USF Connect username and password. Under Submit ID Photo Click Browse and find your photograph. Upload and Submit it. (For more complete instructions, please visit OneCard's website)
- Once you have uploaded your photo please email onecard@usfca.edu to request that your nursing badge is printed and see when it will be ready for pick up.
- All newly hired clinical instructors need to follow the above instructions to get their nursing badge printed in a timely fashion. If you do not submit your photo by the start of the semester, you will have to submit your photo and wait until your nursing badge is printed. We CANNOT print a nursing badge without a submitted photo. You will have to come pick up your nursing badge from the Hilltop Campus by calling Public Safety, (415) 422-4201, once you arrive to the outside of the University Center.

Step 5: Clinical Faculty Health Requirements
Clinical Nursing faculty are required to submit documentation of certain health requirements that the School of Nursing and Health Professions will keep on file; please see the Health Requirements Checklist document for specific requirements. Faculty should submit their documentation through the Faculty Dashboard.
