Apply for ASUSF Conference Funding

Conference Funding Purpose: Allow eligible undergraduate student organizations (USOs) the resources to travel to conferences only, organized by a verifiable third-party.

The total 2024-25 ASUSF Conference Funding budget is $45,000.

Eligibility

Any undergraduate student organization registered with SLE. Organizations shall be in good standing and in compliance with all USF, SLE, and ASUSF rules and regulations.

COVID-19 Travel Policy: USF requires that students are fully vaccinated to travel on University business, including travel for university sponsored retreats, students representing USF, and students receiving funds for conferences or other professional development opportunities. Travelers engaged in programs with more restrictive requirements will be required to follow those, and all travel destinations are also subject to advance approval based on current COVID travel guidance.

Award Limits

Student organizations will be allocated up to one (1) approved award per semester. Funding will not be awarded for expenses already incurred.

Funding Parameters

Items typically funded: travel (airfare, charter buses, etc.), lodging (conference hotel only), conference fees.

  • A minimum contribution of 10% of the total travel costs (per organization) is expected
  • Hotel rooms are funded on 2 people per room.
    • Proposed hotel rooms must be conference site hotels, conference housing, major hotel chains (e.g., Hilton, Marriott, Sheraton, Four Seasons, etc.), or recommended by the conference host.

Considerations:

  • Requests that have been traditionally funded (consecutively within the past two years) may receive partial funding for the 2024-25 academic year.

  • Meals
  • Gas
  • Recreational Activities
  • Retreat Costs
  • Rental Cars

If any alternate accommodations are needed, communication with the VPF should occur after application submission.

Application

Application Deadline

All applications shall be submitted to Finance Committee at least eight (8) academic weeks prior to the date of the proposed event for requests up to $5,000.

  • Requests submitted less than eight (8) academic weeks prior will be considered, but not fully funded.
  • Requests submitted less than five (5) academic weeks prior will not be considered.

Applications shall be submitted at least twelve (12) academic weeks prior to the date of the proposed travel for requests over $5,000.

  • Requests submitted less than twelve (12) academic weeks prior will be considered, but not fully funded.
  • Requests submitted less than eight (8) academic weeks prior will not be considered.

Application Review

The Finance Committee will deliberate on all applications, which shall include a detailed budget using the ASUSF Funding Template (see below) and a detailed description of how the travel experience will contribute to the development of the organization.

Funding may be approved for travel in the following academic year. No retroactive requests for access of this funding will be considered.

After each awarded travel concludes, a post-funding form will be sent out. If post-funding evaluation form is not completed in the same semester of the conference, then the organization would be ineligible for funding for one semester.
