ASUSF Event Funding [FUNDING CLOSED]
ASUSF Event Funding allows eligible undergraduate student organizations (USOs) the resources to host signature on-campus events open to all undergraduate students.
The total amount allocated to ASUSF Event Funding for 2026-27 is $63,000.
Eligibility
Any undergraduate student organization registered with SLE. Organizations shall be in good standing and in compliance with all USF, SLE, and ASUSF rules and regulations.
Award Limits
Student organizations may be allocated up to one (1) award per semester. Total awards for the academic year cannot exceed $8,000. Funding will not be awarded for retroactive events or expenses. Organizations cannot utilize the funds towards an event that has received ASUSF Grant Funding.
Funding Parameters
Items Typically Funded
- Posters:
- 6 posters: 6 campus bulletin boards
- 17 posters: 6 campus bulletin boards + 11 residence hall lobby boards
- Bon Appétit is the required vendor for all catering expenses. Catering is funded per-person.
- $12 per person: reception & snacks
- $17 per person: meal (lunch or dinner)
- $26 per person: banquet dinner or culturally focused meal
- A maximum of $100 will be awarded for decoration expenses.
Items Not Eligible for Funding
- Off-campus in person events
- Events hosted in LM 100
- Events that are closed to the general student body, including end of year celebrations
- Speakers that are USF affiliated (staff/student/faculty/administration)
- Giveaway/Raffle items
Application Timelines
For event requests under $5,000, applications need to be submitted to the ASUSF Finance Committee at least eight (8) academic weeks prior to the date of the proposed event.
- Requests submitted less than eight (8) academic weeks in advance will not be considered.
For event requests over $5,000 and up to $8,000, applications need to be submitted to the ASUSF Finance Committee at least twelve (12) academic weeks prior to the date of the proposed event.
- Requests submitted less than twelve (12) academic weeks prior will be considered for up to $5,000 in funding.
- Requests submitted less than eight (8) academic weeks in advance will not be considered.
Application Review & Decisions
- The ASUSF Finance Committee will deliberate on all applications, which shall include a detailed budget using the ASUSF Funding Template (below), event logistics (date, time, location), and a detailed description of the event.
- Organizations are expected to have at least one (1) representative make a brief presentation to the ASUSF Finance Committee during the regularly scheduled meeting time.
- Any awards recommended by the ASUSF Finance Committee for more than $5,000 in funding will require review by the ASUSF Senate for additional approval.
- Organizations will be notified about the outcome of the funding request within one (1) week of the applicable review and decision.
Award Requirements
- Organizations that do not meet their proposed revenue will be required to make up the difference using their organization’s finances.
- Marketing materials must include ASUSF Activity Fee Logo.
- Organizations must maintain active communication with SLE to complete purchases. Unresponsiveness for more than one (1) week at any point during the planning process may result in award cancellation.
- After each awarded event concludes, a post-funding form will be sent out for the organization to complete. If the post-funding form is not completed in the same semester of the event, the organization will be ineligible for funding for one semester.
